Worship Media UK does not receive your full payment-card details. Payment and subscription billing are completed on Shopify's secure checkout.
Who we are
Worship Media UK is responsible for deciding how personal information is used for its website, enquiries, customer relationship and licence fulfilment. In data-protection terms, this makes Worship Media UK the controller for that processing.
You can contact us at hello@worshipmedia.co.uk, by telephone on 0116 243 7220, or by post at Worship Media UK, The Business Box, 3 Oswin Road, Leicester, LE3 1HR, United Kingdom.
Information we use
Enquiries and support
When you contact us, we may collect your name, email address, telephone number, church or organisation, enquiry type and the information you include in your message. We also keep relevant correspondence and support notes.
Licence selection and fulfilment
For an EasyWorship order we collect the church or organisation name, address, phone number and contact name; the primary contact phone number and email address; the email address used with EasyWorship; the selected plan and attendance band; any additional Bible plug-ins selected for purchase; an existing licence reference and fulfilment notes if supplied; and a record that the website terms and digital-supply consent were accepted.
Checkout and subscription records
The licence information submitted on this website is saved as custom information on the Shopify order. Shopify also collects the purchaser's contact, billing and payment details and creates the annual subscription record. Worship Media UK can access the customer, order, transaction status and subscription information needed to administer the purchase. Full card details are handled by Shopify and its payment providers, not by this website or EasyWorship.
Technical information
Our hosting, security and commerce providers may process an IP address, browser and device information, request times, referring pages and similar technical logs to deliver and protect their services. Our font and icon files are served directly from this website.
Why we use it
- To answer an enquiry or take requested steps before a contract, and to pursue our legitimate interest in responding to customers and potential customers.
- To validate, take payment for, fulfil, renew and support a licence under our contract with the purchaser.
- To keep financial and transaction records where required by tax, accounting and other legal obligations.
- To secure the website, prevent fraud, diagnose faults and defend legal claims where this is necessary for our legitimate interests or those of our service providers.
- To send marketing only where we have an appropriate lawful basis. You can object or unsubscribe at any time.
We do not use the information collected through this website to make solely automated decisions that have legal or similarly significant effects on you.
Who we share it with
We share information only where it is needed with:
- Arviteni, which owns and operates the ResonaFlow software used to host, secure and operate this website and its contact forms;
- Cloudflare, which provides the Turnstile security check used to protect our contact form from automated submissions;
- Shopify and its payment providers for checkout, fraud checks, payment, receipts and subscription administration;
- Softouch Development, Inc., the US operator of EasyWorship, so that it can create, renew and support the selected licence;
- professional advisers, insurers, auditors, banks and public authorities where reasonably necessary or legally required; and
- a buyer or successor if the relevant business is reorganised or transferred, subject to appropriate confidentiality.
Shopify and Softouch also process some information for their own purposes under their respective Shopify consumer privacy policy and EasyWorship privacy policy.
International transfers
Shopify and its suppliers operate internationally. Softouch is based in the United States, so the licence and contact details needed for fulfilment are transferred outside the United Kingdom. Where UK data-protection law treats a transfer as restricted, the transfer must be covered by an applicable UK adequacy regulation or appropriate contractual safeguards, such as the UK International Data Transfer Addendum. You can contact us for more information about the safeguard relevant to your information.
How long we keep information
- Enquiry records are normally kept for up to 24 months after the last meaningful contact, unless the enquiry becomes a customer relationship or a longer period is needed for a dispute.
- Customer, licence, order and accounting records are normally kept while the subscription is active and for up to six years after the relevant transaction or relationship ends, where needed for tax, accounting or legal claims.
- Support records are kept for as long as they remain useful for the active licence and then reviewed or deleted.
- Technical and security logs are retained for the limited period needed to operate, diagnose and protect the service.
Shopify, Softouch and other independent providers apply their own retention rules to information they control. We may keep a record for longer where the law requires it, a dispute is in progress or deletion would interfere with another person's rights.
Cookies and browser storage
This website stores the current basket selection in your browser's local storage so it remains available as you move between pricing, basket and checkout pages. This storage does not follow you across unrelated websites and can be removed by clearing this site's browser data.
Checkout details are temporarily saved in this tab's session storage so you can return from Shopify without entering them again. This includes the contact and licence details you enter, but not card details or consent selections. The saved draft expires after 24 hours and is removed when the basket is emptied or payment is confirmed. You can also remove it by clearing this site's browser data.
We do not currently place advertising or behavioural-analytics cookies on the Worship Media UK pages. Shopify may use cookies and similar technologies when you enter its checkout or use Shopify services. Those technologies are described in Shopify's privacy information and controlled through the options Shopify makes available.
Your rights
Depending on the circumstances, UK data-protection law may give you the right to ask for access to your personal information, correction, deletion, restriction, portability, or to object to how it is used. Where processing relies on consent, you can withdraw that consent without affecting earlier lawful use.
Some rights are subject to legal exceptions. We may need enough information to confirm your identity before acting on a request. There is normally no charge for exercising a right.
You have the right to object at any time to the use of your personal information for direct marketing.
Contact and complaints
Send a privacy request or concern to hello@worshipmedia.co.uk. We would appreciate the opportunity to resolve a concern directly.
You can also complain to the Information Commissioner's Office through ico.org.uk/make-a-complaint or by calling 0303 123 1113.
We may update this notice when our services, providers or legal duties change. The date at the top shows the latest revision.
